Read moreThe client, a property management services provider with an annual travel spend of £800,000, sought to implement a managed travel solution. Following a formal negotiation process, CTM was appointed as a one-stop shop for all online and offline travel bookings.
The primary objective was to build a travel program from the ground up that enhanced the booking experience and delivered a strong return on investment. Key goals included driving policy compliance, enabling full booking functionality across all travel types, and achieving complete visibility over bookings and spend.
CTM navigated the challenge of implementing this program without any existing travel management tools or processes. With over 1,000 staff members requiring comprehensive training within a tight timeframe, CTM efficiently coordinated company-wide education to ensure a smooth transition and rapid adoption.
Online Booking Tool
To meet the client’s need for advanced booking functionality, CTM implemented a streamlined online booking tool (OBT) that consolidates all travel arrangements in one place—eliminating time-consuming searches across multiple comparison sites.
Management Reporting
CTM’s comprehensive management reporting provides the client with detailed insights into booking patterns and types, simplifying invoicing and enabling strategic cost reduction through smarter buying behaviours, such as opting for off-peak rail travel.
Travel Policy Creation
Embedded within Lightning, the travel policies include ‘guilt’ screens that prompt travellers to choose the most cost-effective options for rail and air bookings. Hotel rate caps are enforced in London and other major cities, while Business and First-class flight options have been disabled to control costs.
Training
As part of the implementation plan, CTM developed a Traveller Education Program to onboard all travellers. This included on-site face-to-face workshops over four days at the client’s head office, supplemented by follow-up web sessions to support those unable to attend or requiring additional guidance.
